Client Service Manager - AIFM

Job description

Role summary:

We are seeking a Manager / Senior Manager (depending on the level of experience) to take over responsibility and the lead on servicing institutional investors on behalf of our AIFM. The role includes the development and mentoring of the more junior team members. Working closely with the lead relationship managers and Directors to provide quality and efficient services to all customers within the portfolio.


Key responsibilities:

Specific for this role

  • Take over the lead on investor reporting deliverables incl. institutional investor specific reporting requirements;
  • Manage and coordinate with involved third parties on the input of quality data through data output preparation till investor reporting package finalisation;
  • Contribute to the constant evolvement and improvement of existing and new system infrastructure;
  • Manage, supervise and mentor administrators and trainee administrators towards final preparation of investor reporting deliverables.

General responsibilities

  • Becoming a key contact for clients and maintaining a strong relationship with them;
  • Be responsible for managing a client portfolio on behalf of the AIFM – coordinate between internal departments (portfolio managers, risk managers, i.e.) and external parties (client, lawyers, tax advisors);
  • Be responsible for the planning, coordination and completion of regulatory obligations and administration requirements;
  • Preparation and implementation of customer specific procedures in relation to administration and reporting requirements for each entity;
  • Build detailed understanding of client portfolios, entity specific requirements and applicable statutory regulations/requirements and act as a source of guidance to other team members and to answer client queries;
  • Arrange and attend board meetings, review minutes and ensure timely delivery of results to the board;
  • Ensure that responsibilities are managed effectively and to agreed best practice, regulatory and statutory deadlines.

General Tasks

  • Ensure Investor reporting is prepared on timely manner;
  • Manage deliverables from third parties;
  • Build key relationships with clients, respond swiftly to client requests and manage client expectations;
  • Liaise with third parties such as investment managers, auditors and lawyers as required;
  • Liaise with customers and agents in respect of both scheduled and ad-hoc transactions;
  • Cash management and reviewing bank payments prepared by more junior team members;
  • Review of minutes/records/reports prepared by administrators and trainee administrators.

Requirements

Skills / experience: 

  • Fluent written and spoken German is mandatory;
  • Degree from a Business school in Economics or Finance or equivalent educational background;
  • Minimum of 5 years’ experience in the finance industry;
  • Knowledge of alternative investment funds and alternative asset classes;
  • Excellent understanding of financial statements of a typical umbrella fund;
  • An understanding of Luxembourg statutory laws and other related legal and regulatory requirements;
  • Excellent command of MS Office, especially excel;
  • Excellent communication and organisation skills;
  • Motivated and self-driven.
